If someone in your business copies data from emails into a spreadsheet, chases invoices or answers the same WhatsApp question twenty times a day, there are hours you can win back. You don't need a big AI project: you need to pick the right first automation. According to Eurostat, only 17% of small European businesses used AI in 2025, and the main barrier was lack of expertise: there's still time to get ahead.
Which tasks are worth automating with AI?
A task is a good candidate when it meets three conditions at once. If it fails one, leave it for later.
The quick test: if you can explain it on one page, with examples, it can be automated. If every case ‘depends’, AI prepares the work and a person decides.
- It repeats: it happens every day or every week, always with the same steps (read an email, copy data, send a reminder).
- It has volume: it adds up. Ten minutes a day for one person is around 38 hours a year; the same ten minutes across five people is nearly 200.
- It follows clear rules: there's a criterion you can write down (‘if it's a booking, it goes to reception; if it's an invoice, to accounts’).
For one week, note every time someone on your team says ‘this again’. That list is your automation map.
How much time and money does automation save? The formula
The sum fits on one line: hours per week × hourly cost × 46 working weeks. We use 46 to allow for holidays and bank holidays.
For the hourly cost, our calculator uses €25–35 as a reference, salary and CASS social security included. Better still, use your own figure: gross annual salary plus employer CASS, divided by hours worked per year.
And be conservative: you almost never automate 100% of a task, as there are always exceptions a person reviews. The table shows a worked example for a typical small business at €30/hour; these are not client results.
If an automation costs less than it saves in the first year, it's worth it. Run the numbers on your own tasks with our AI savings calculator.
| Task | Hours/week now | Automatable share (assumption) | Hours saved/week | Annual saving |
|---|---|---|---|---|
| Answering and sorting emails | 5 h | 50% | 2.5 h | €3,450 |
| Moving leads into the CRM and following up | 3 h | 70% | 2.1 h | €2,898 |
| Logging supplier invoices | 2 h | 70% | 1.4 h | €1,932 |
| Total | 10 h | — | 6 h | €8,280 |
8 AI automations that work for small businesses in Andorra
None of them forces you to switch software: an automation platform connects the tools you already use.
n8n, Make and Zapier act as the ‘glue’ between apps and include AI steps to read, sort and draft. Which one to choose depends on your volume, budget and where you want your data to live; we cover it in n8n vs Make vs Zapier.
If you could only do one, by type of business:
- Estate agent: leads into the CRM with follow-up.
- Restaurant: booking reminders, review requests and supplier invoices.
- Hotel or holiday flats: 24/7 support with an AI assistant that answers in several languages.
- Professional firm: sorting client emails and documents.
- Clinic or gym: appointment and renewal reminders.
- Shop: weekly sales report and social media content.
| Automation | What it does | Typical tools |
|---|---|---|
| Email and WhatsApp: replies and sorting | AI reads each message, tags it, routes it to the right person and leaves a draft reply. | Gmail or Outlook + n8n or Make + WhatsApp Business Platform |
| Leads from the web form into the CRM, with follow-up | Every lead lands in the CRM, gets a reply within minutes and, if nobody calls within 24 hours, an alert goes off. | Web form + your CRM (HubSpot, Pipedrive…) + Zapier, Make or n8n |
| Supplier invoices read by AI | Reads the PDF that arrives by email, extracts supplier, tax number (NRT), date, net amount and IGI, and sends it to accounts or your accountant. | n8n or Make + AI model + your accounting software or ERP |
| Automatic quotes | From a form or an email, it drafts the quote with your rates and leaves it ready to review and send. | Form + your ERP or invoicing software + Make or n8n |
| Appointment reminders and reviews | Sends a reminder the day before and, after the visit, asks every customer for a Google review. | Your calendar or booking software + Zapier or Make + WhatsApp or SMS |
| Weekly report | Every Monday it pulls together sales, campaigns and web data, and AI sums up what has changed. | Google Sheets or Looker Studio + n8n or Make + AI |
| 24/7 support with an assistant trained on your information | Answers with your opening hours, prices and terms, and hands over to a person when it doesn't know. | AI agent (n8n or another platform) + your documents + web chat or WhatsApp |
| Social media content | Turns news and photos into draft posts for you to approve. | Make or n8n + AI + Meta Business Suite |
What shouldn't you automate?
One mistake repeated a thousand times is worse than a thousand one-off mistakes. Our red lines:
- Decisions that genuinely affect a person, such as accepting a job candidate, a tenant or a loan. Llei 29/2021 gives people the right not to be subject to decisions based solely on automated processing with legal effects, subject to certain exceptions. AI prepares; a person decides.
- Complaints, negotiations and angry customers: AI can flag and summarise, but someone on the team replies.
- Asking only happy customers for reviews, or offering something in return: Google's policies explicitly prohibit both. Automate the request, but send it to everyone and without incentives.
- Processes that don't exist yet: if everyone does it their own way, sort out the process first. Automating chaos just makes it faster.
- Unreviewed messages to customers, at first: for the first few weeks, AI suggests and a person approves.
Risks and data protection: what the law says in Andorra
Andorra's data protection law is Llei 29/2021, of 28 October, qualificada de protecció de dades personals, in force since 17 May 2022 and overseen by the Andorran Data Protection Agency (APDA).
In practice: a legal basis for each use, a privacy policy that mentions your providers, a data processing agreement with each one and knowing where they store data. Transfers outside Andorra are free to countries with adequate protection, such as EU member states; for the rest, and many tools are American, you need safeguards such as standard contractual clauses. If there's a data breach, you notify the APDA, as a rule within 72 hours. Very serious infringements can be fined up to €100,000.
Technical risks: AI is sometimes confidently wrong, a connection can break after an update and costs grow with volume. For example, since 1 October 2026, Meta charges for WhatsApp service messages beyond 1,000 a month per phone number. Budget for those costs from day one.
Use only the data you need and never paste customer data into personal chatbot accounts. For maximum control, n8n can run on your own server.
How to start automating your business in 3 steps without overspending
Don't start by buying tools. Start with the numbers.
If you'd rather have help, our automation service designs the workflow with you, documents it and trains your team, always with a fixed quote before we start.
- 1. Measure for a week. List the repetitive tasks, how many hours they take and who does them. Apply the formula and rank them by euros per year.
- 2. Run a small pilot. Pick the one with the biggest saving and the lowest risk (usually email, leads or invoices). Use the software you already pay for and the automation platform's entry plan, with human review.
- 3. Measure and scale. After a few weeks, compare actual hours with your estimate. If it adds up, move on to the next task on the list; if not, adjust before carrying on.
Is there funding for AI automation in Andorra?
Yes, when a call is open. Andorra Digital's Business Digitalisation Programme (PDE) subsidises artificial intelligence solutions at up to 50% of the cost, capped at €3,000 per solution, within the per-company limit (up to €6,000 for micro-businesses with up to 5 staff), under the 2026 rules.
The 2026 call is closed: the €500,000 budget ran out in early August after supporting 178 businesses, and AI was the most requested category, with 85 applications. It pays to have your project and quote ready to submit as soon as the next one opens. Our Andorra Digital funding page explains the requirements and deadlines.

Frequently asked questions
How much does it cost to automate a task with AI?
It depends on the tools to connect and on volume. Add up three parts: set-up, monthly tool subscriptions and AI usage. Always ask for a fixed quote that also includes the monthly running cost.
Do I need to change my software to automate?
Usually not. If your software allows connections (API, email or exports), you can automate around what you already use.
Can I use ChatGPT or another AI with customer data in Andorra?
Yes, provided you comply with Llei 29/2021: a legal basis, informing the customer, a contract with the provider and safeguards if data goes to countries without adequate protection. Use business accounts, never personal ones, and only the data you need.
Will AI replace my team?
That's not the goal: it takes repetitive tasks off their plate so they can spend that time on customers, sales and service.
What happens if an automation fails?
That's why it's built with alerts: if a step fails, someone is notified and the task is done by hand while it's fixed.
